Preparing for Portal
The MyST to Portal migration is a phased roll-out.
- Site administrators will be responsible for enrolling in the new Portal and migrating their users.
- If you are a site administrator, you should expect an email notifying you a few weeks ahead of Portal being made available to your business.
- If you are not a site administrator, your administrator will contact you when Portal is ready for you.
As a site administrator, we recommend ensuring your contact details with us are still up to date to ensure you receive the emails notifying you that Portal is ready!
- Think of Portal as a separate system from MyST - User accounts, their permissions and other settings for Portal function independently from those in MyST. For example, changing your password on a Portal user account has no impact on any MyST account.
- Your accounts, site references and transactions can all be viewed and managed from both Portal and MyST during the migration - Despite being independent platforms, both can be used to perform actions on your Trust Payments account.
The migration
The following steps are to be followed by the site administrator.
-
When Portal is ready for enrolment, you will receive an email from no-reply@trustpayments.com with a link to sign in for the first time.
-
Follow the on-screen instructions to complete the registration of your account on the new platform. You will be prompted to choose a secure password and also to enable two-factor authentication.
While you will already be familiar with two-factor authentication as this will follow a similar process as used today in MyST, Portal will enforce two-factor authentication for all users. For further information, please refer to this guidance.
-
After you have completed the above, you will be presented with this landing page - click "Portal" to complete the setup and sign in:
We recommend bookmarking the following URL to allow you to sign in to Portal directly in the future, bypassing the landing screen shown above:
https://portal.trustpayments.com/
-
Once you have signed in and have familiarised yourself with Portal, you will then need to add your child users, if needed (we explain this below).
If you encounter any problems during the onboarding process, please contact our Support Team for assistance.
Your new Portal
Now you're signed in, let's walk through the basics:
Navigation
Much like MyST, the side-bar on the left of the page allows you to navigate between the different functions:
Dashboard
As with MyST, you will land on the Dashboard page on sign in. You can always return there by clicking "Dashboard".
Chargebacks
This is a new page that allows admins to view recently-incurred chargebacks.
Sites
This page is for searching for and managing site references assigned to your user account.
Payments
Virtual terminal and Pay by Link pages can now be found under Payments!
For users with the permissions to access, this drop-down is the new home for Virtual terminal, Payout terminal and Pay by Link. This is also where you can pay your invoice for our services.
Settings
User search page can now be found under Settings!
This is where you can view and manage users. In functionality new to Portal, you can also create and manage Access Groups.
Profile
Display options can now be found by clicking the icon above any search result table.
The username currently signed in is displayed in the top-right. Click this to view details regarding your user profile or sign out.
About Access Groups
The ability to create and assign Access Groups is a feature new to Portal. An Access Group is a collection of related site references that have been grouped together. Admins can assign these groupings to their users, allowing them to assign a large number of site references in a single step. Each user can be assigned one Access Group. Site references can be added/removed from an Access Group at a later time, automatically updating the access from all assigned users.
To manage Access Groups, admins can click "Settings" from the side-bar and then "Access Groups". Click here to learn more.
The IP last used to sign in to your Portal user account and the date/time your account was last accessed are no longer shown in the side-bar. To view this information, visit your profile, by clicking your username in the top-right and then "Profile".
User management in Portal
One of the most significant changes to be aware of when moving from MyST to Portal is the new tools provided to manage users. Regarding users specifically, MyST is a standalone system from Portal. Think of Portal as a blank slate where you will need to recreate any child users you wish to retain from MyST.
When creating new users, you can choose from one of the user roles provided below, or alternatively, click here to open the full list of roles in a new tab.
We have taken this approach because we have overhauled and simplified how we think about user roles and the different permissions applied to each. Previously, user roles were fixed and admins were required to look at a long list of options to pick the role that fit best for their team members.
With Portal, we are starting fresh with a smaller list of new user roles to choose from. Think of our new pre-selectable roles as templates, where you can quickly understand and select the permission set that best suits the need of your user. Upon this new foundation, we will soon offer admins the ability to create their own custom roles and apply them to their users.
Admin
Best suited for MyST users with Site admin role.
These users have unfettered access to all Portal features we provide to our merchants, including transaction, site(s), user and account management. New to Portal, multiple admins can now be created to manage the same site(s).
- User can access API management.
- View dashboard showing metrics on recent transaction activity.
- View details of recent transactions processed on your site(s).
- View acquirer fees on processed transactions.
- Re-auth, refund, update and manage transactions.
- Generate reports on transactions processed on your site(s).
- View merchant statements (feature only available to those using TRU Acquiring).
- View records of chargebacks incurred against transactions processed on your site(s).
- View your site(s) configuration.
- Configure and manage rules on your site(s).
- Upload and manage files on your site(s).
- Process new payments using our Virtual terminal.
- Process payouts using our Payout terminal.
- Request a payment by generating a unique link to a hosted checkout page.
- User can pay for use of Trust Payments products and services on behalf of their organisation.
- View and manage their sub-users.
- View details of user roles that can be assigned to users in their organisation.
- View and update details of Access Groups that can be assigned to users in their organisation.
TransactionUser
Best suited for MyST users with Site user or Site user 2 roles.
These users can process payments using the Virtual terminal, manage transactions and view info about your site(s). But access to deeper site configuration such as rule/file management is restricted.
- View dashboard showing metrics on recent transaction activity.
- View details of recent transactions processed on your site(s).
- Re-auth, refund, update and manage transactions.
- Generate reports on transactions processed on your site(s).
- Process new payments using our Virtual terminal.
ViewTransactionsOnly
Best suited for MyST users with View only transactions role.
This restricted role can only view details of transactions processed on your account and generate reports.
- View dashboard showing metrics on recent transaction activity.
- View details of recent transactions processed on your site(s).
- Generate reports on transactions processed on your site(s).
Developer
Best suited for MyST users with Developer 2 role.
This role grants the user full access to the Rule Manager and File Manager for the purposes of performing advanced configuration on your account while limiting transaction access to view only.
- View your site(s) configuration.
- Configure and manage rules on your site(s).
- Upload and manage files on your site(s).
- View dashboard showing metrics on recent transaction activity.
- View details of recent transactions processed on your site(s).
- Generate reports on transactions processed on your site(s).
To add your child users:
-
Select “Settings" and then Users” from the left navigation bar.
-
Click the icon above the table.
-
Fill in the fields displayed to add a new user.
Users in Portal are no longer assigned display names or profile pictures.
All users must now be assigned a first and last name.
An optional secondary email address can be assigned to help users recover their accounts.
-
Click “Save and add Another" to save the user, and clear the form above so you can add further users.
Timezones
Portal can be configured to reflect your local timezone. e.g. When viewing transaction details, timestamps are shown in your preferred timezone rather than GMT.
To change your timezone, click your username in the top-right and then "Profile".
From your profile page, click the Timezone drop-down and choose your preferred timezone. Once selected, the page will immediately refresh and from now on, all timestamps displayed will be shown in your selected timezone.
You can always view the timezone in GMT by hovering your cursor over a time displayed on screen.
Searching for transactions and generating reports
While the process of performing a transaction search or generating a report is largely unchanged from MyST, there are some changes and improvements you should be aware of:
When you click the Date drop-down, you will be shown the new date-picker, allowing you to select a range of dates.
- On the left side, you can click a date on the calendar to select a single day and then click another date to select a range that spans both dates.
- On the right side, you can type in precise date and time values if preferred. The drop-down in the top-right allows you to quickly select pre-defined ranges, e.g. "Today", "Yesterday", "This week", etc.
Click the "Advanced" button to specify additional filters to further narrow your search, and to specify additional fields to be displayed in the search results table.
You can click the table headers in the search results to change the sorting. Or click the icons on any given column to move columns left and right, hide them from view or freeze to keep columns visible when scrolling left and right.
You can quickly rearrange the order of columns displayed by clicking a column header in the table and then dragging it either left or right into your preferred position.
After performing the search, you can click the "Export" button above the table to export the records returned in CSV or XLS format. Downloaded files can be used to import the data into your own system or open in your spreadsheet software of choice. Files are now downloaded in the background, so you can continue to use Portal while you wait. Once the download is ready, you can click the provided link shown in the pop-up in the bottom right to complete the download. All downloads are valid for 24 hours before expiring.
